AKOS (Automated Knowledge and Operations Systems) helps a business keep track of its enquiries and run its follow-ups. This page explains, in plain language, what information we handle, why, and what control you have. AKOS operates AKOS.
Two kinds of people, two kinds of data
You (or your colleagues) use AKOS to run a business. We hold your account details and your business’s information. Your contacts (the people who enquire with your business) are in AKOS because your business put them there. For their information, your business decides what is kept and how it is used, and AKOS handles it on your behalf. If you are one of those contacts and want something changed or removed, see Delete my data.
What we collect
- Account: your name, email address, a password (kept only as a one-way hash), and your business’s name.
- Your business data: the leads, contacts, notes, tasks, call logs, properties or products, imports and settings you or your team add.
- Messages and consent: WhatsApp and email messages sent or received through AKOS, and a record of who has agreed to be messaged (or has opted out), when and how.
- Connected accounts: when you connect Slack, Google, Meta or WhatsApp, we store the access credential the platform gives us, encrypted. We never see your password for those services.
- Activity records: who did what and when inside your workspace (for example, a lead being reassigned), and a history of what your automations did.
- Technical data: your network address and browser type, used to keep the service secure and to limit abuse such as repeated sign-up attempts.
How we use it
- To provide AKOS: show you your leads and numbers, and run the automations you switch on.
- To send you emails about your account, such as confirming your address, and alerts that something you rely on (a connected account) needs attention.
- To keep the service secure, prevent abuse and fix problems.
We do not sell your data, we do not show advertising, and we do not use your data to train artificial-intelligence models.
Google user data
If you connect a Google account, AKOS asks only for the access each feature needs, and only uses it to do what you have set up:
- Gmail (send only): to send an email you have asked an automation to send. AKOS cannot read your inbox, your existing mail or your contacts.
- Google Sheets: to add rows to spreadsheets you choose.
- Google Calendar: to create events on calendars you choose.
AKOS’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the features you turn on, is not transferred to others except as needed to provide them or to comply with law, is not used for advertising, and is not read by people at AKOS except with your permission, to investigate abuse or a security problem, or where the law requires.
Meta, WhatsApp and Slack
If you connect Facebook or Instagram lead forms, WhatsApp, or Slack, we receive the information those services send us for the features you enabled (for example, a lead form submission, a WhatsApp message to your number, or a Slack channel list), and use it only to provide those features.
Who else handles it
We use hosting and infrastructure providers to run AKOS (for the application, the database and the website), and email delivery services to send account emails. They process data only on our instructions and to provide those services. The platforms you connect receive what your automations send them. We do not share your data with anyone else, except where the law requires it.
How long we keep it
- Your account and business data stay until you ask us to delete them, or you close your workspace.
- The history of what your automations did is kept for a limited time (90 days by default) and then removed.
- Records of consent and opt-outs are kept as long as the contact exists, because they are the evidence that you were, or were not, allowed to message someone.
- Backups are overwritten on a regular cycle after deletion.
How we protect it
Each business’s data is kept separate from every other’s, enforced in the database as well as in the application. Connected-account credentials are stored encrypted, connections can be disconnected at any time (which removes the stored credential), and access inside a workspace follows the roles you set. No system is perfectly secure, but we design for the case where something goes wrong.
Messaging people: your responsibility, our safeguards
If you use AKOS to message your contacts, you are responsible for having their permission and for following the rules of the channel (such as WhatsApp’s business policy). AKOS helps: it records permission, only sends to people who have agreed, respects STOP and unsubscribe requests, avoids quiet hours, and limits how often one person is messaged.
Your choices
- Disconnect any connected account in Settings › Connections.
- Ask us to access, correct or delete your information, as described on Delete my data.
- If you are in India, you have rights under the Digital Personal Data Protection Act, 2023, including to access, correct and erase your personal data, and to complain. Contact us first and we will try to put it right.
Children
AKOS is for businesses. It is not meant for people under 18, and we do not knowingly collect their information.
Changes and contact
If we change this policy in a way that matters, we will say so in the app before it takes effect. Questions or requests: aaryanhkhanna@gmail.com.
